Contact Forms Privacy Policy

Last updated: 4 October 2026

Who is responsible for your information?

Saunat Ltd is responsible for the personal information collected through its general, software development, civil engineering, construction, and estate development enquiry forms. This policy explains how we handle that information in the context of Ghana’s Data Protection Act, 2012 (Act 843).

For privacy questions or requests, email info@saunatltd.com with the subject “Privacy request”. You may also write to Saunat Ltd, P.O. Box DT 2184, Adenta Flats, Accra, Ghana.

What we collect

Depending on the form you use, we collect your name, email address, telephone number, country selection for phone validation, company or organisation, enquiry subject, and message. Service-specific forms also collect the selected service or project type, project location or location preference, budget range, timing, and investment interests where relevant.

Our systems also receive your IP address, browser information, and submission time. We record the enquiry’s status and any internal notes or correspondence needed to handle it. Country selection is used to validate your phone number; it is not a separate stored enquiry field in the current form system.

Fields marked with an asterisk are required to submit that form. They are requested to identify, contact, and assist you, rather than because a law requires you to complete the form. Other fields are optional. If you prefer not to use the form, contact us by email; we may still need relevant details to respond.

Please provide only information relevant to your enquiry. Do not include passwords, payment-card details, identification documents, health information, or other sensitive personal information. If you provide someone else’s details, ensure you are authorised to do so and make this policy available to them.

Why we use your information

We use enquiry information to respond to you, understand your requirements, prepare proposals or quotations, arrange discussions, and manage related services. We also use limited technical information to investigate delivery problems, prevent abusive submissions, and protect the website.

Our processing grounds depend on the purpose: handling requested services and related contracts, legitimate interests in managing enquiries and keeping our systems secure, and applicable legal obligations. Where we rely on consent for a separate activity, we will explain that activity and how you can withdraw consent.

Submitting a contact form does not subscribe you to promotional messages. We do not sell enquiry information. Any future direct-marketing subscription will be offered separately with an appropriate choice.

Who may receive your information

Enquiry information is available to authorised Saunat personnel who need it to handle your request. Hosting, database, email, and IT-support providers may process information on our behalf to operate these services. We limit access to the relevant purpose and require appropriate protection of information handled for us.

We may disclose relevant information to professional advisers or public authorities where necessary for legal obligations or the establishment, exercise, or defence of legal claims. We do not publish your enquiry on the website.

Some technology providers may process information outside Ghana. We consider the location and protections of those services when selecting them. Contact us if you would like information about the providers or locations relevant to your enquiry.

Website assets, cookies, and analytics

The website loads some fonts, icons, and interface assets from Google Fonts, Cloudflare’s cdnjs, and unpkg. Loading those assets sends connection information, such as your IP address and browser details, to their operators. Our contact-form code does not send your completed form fields to those asset services.

You do not need an account to submit an enquiry. The staff CMS uses cookies to maintain authenticated sessions and protect administrative actions. The supplied public forms do not install advertising cookies or enrol you in marketing. If optional analytics or other tracking is introduced, we will explain it and provide any choices required by applicable law.

How long we keep information

We retain enquiry information for as long as needed to handle the enquiry and any resulting service relationship. Further retention depends on unresolved issues, contractual responsibilities, applicable legal requirements, and the reasonable need to establish or defend claims. Information that is no longer needed should be deleted or anonymised through our retention review process.

Backup copies may remain until the relevant backup cycle expires and should not be used for unrelated purposes. You may ask us about the retention applicable to your enquiry or request deletion where the information no longer needs to be retained.

Protection and automated processing

We use access controls and other safeguards to protect enquiry records from unauthorised access, alteration, loss, or disclosure. No method of transmission or storage can guarantee absolute security.

Forms use automated field validation and abuse limits. We do not use these enquiries to make decisions with significant effects on you solely through automated processing.

Your choices and rights

Subject to applicable law, you may request access to your personal information, correction of inaccurate details, or deletion where continued retention is not justified. You may also raise an objection to processing in circumstances recognised by law, withdraw consent where processing relies on it, and object to direct marketing.

Send your request to info@saunatltd.com. We may need proportionate information to verify your identity and locate the relevant records. We will explain any lawful reason why a request cannot be fulfilled in full. Withdrawal of consent does not affect processing already carried out lawfully.

You may complain directly to Ghana’s Data Protection Commission. Its current contact and complaint options are available at Data Protection Commission contact page (opens in a new tab); its general email address is info@dpc.gov.gh. You do not have to contact us first to raise a concern with the Commission.

Changes to this policy

We may update this policy as our services or information-handling practices change. The date above identifies the latest revision. Material changes will be explained through an appropriate notice before the new practice applies where required.
